Seeking Municipal Office Manager, Village of Lions Bay, BC
The Village of Lions Bay is a small, vital community within the Metro Vancouver region located on the Sea to Sky corridor. It is seeking a full-time Office Manager; an administrative Manager who will report directly to the Village Manager. Lions Bay owes much to its surroundings: the source of its water, its natural character and the awe inspiring views. The community must fit and co-exist within its larger environment of forests and ocean by respecting these treasured resources. The Office Manager will possess extensive Municipal experience and will help champion and take forward the spirit of our Official Community Plan towards a sustainable future.
The successful candidate will be strongly oriented to customer service and have proven experience in a Municipal environment in a managing and/or supervisory role of a productive workforce and working effectively within a regulatory environment. He or she will be able to advance our administrative and technical systems. A business or urban planning background would be preferred, and excellent verbal and writing communication skills in English are essential.

Village of Lions Bay
Office Manager – reports directly to the Village Manager
Primary Duties and Responsibilities:
Performs all duties of the Receptionist on their days/times off or if unavailable.
Trains and supervises Receptionists, encourages professional growth and increases responsibility as appropriate.
Monitors and approves hours of work for Receptionists per budget guidelines
Oversees the day to day functions of the Village Office to ensure a high standard of customer service.
Oversees Council package preparation including agendas, delegations,
minutes and reports, prepares flyers, newsletters, notices (e-post and
mail) etc. for distribution.
Acts as direct guidance for adherence to Municipal standards for Council meetings and general office work flows.
Maintains Village’s web-site.
Assists Receptionists with more difficult customer service requests and provides direction for follow-up.
Assists Building Inspector and coordinates inspections with contractors and property owners and provides follow-up.
Board of Variance Secretary to coordinate BOV applications, letters to area residents, follow-up.
Attends Staff meetings as required.
Assists Village Manager with research regarding local information and history re bylaws and policies.
Maintains Village’s records including property files, administration and some financial files.
Attends Council meetings and ensures the minutes are correctly recorded
Ensures back-up of network server is complete, liaises with other staff re: IT issues.
Assists with trouble shooting of IT issues and refers complex IT queries to other staff.
Ensures that accounting policies are maintained re record keeping etc.
Provides information requested by auditors and outside agencies and local governments.
Provides assistance with special projects as directed by the Village Manager and requested by Council.
Liaise with contractors, (building, cleaning, etc.), to ensure work requested is carried out.
Sets up Village Council Chamber and/of Village Hall for Council meetings and Public meetings.
Secondary Duties and Responsibilities:
Able to assist Treasurer with Accounts Payables.
Develops systems and methods to record and report information as required in conjunction with the Treasurer.
Provides information according to FOIPP guidelines.
Liaise with community facility users re scheduling, maintenance, record keeping and administration of polices.
Assists Treasurer with miscellaneous projects or tasks.
Coordinates maintenance of office equipment as required.
Develops procedures to facilitate and improve record keeping functions.
Ensures that legislative regulations are met when appropriate.
Prepare reports to Council when required.
Liaise with other local governments, Provincial and Federal agencies on matters pertaining to the Village.
Attends meetings when requested.
Corresponds with residents when required.
Liaises with Village’s Bylaw Enforcement Officers.
Coordinates preparation of utilities tax notices, information brochures and inserts.
Assists with the preparation and mailing of property tax notices, coordinates brochure preparation and inserts.
